Overview
The Financial Copy App allows users to copy financial data from one cost type to another within OnePlan. Users can copy data for an entire plan type or for selected projects only, and can define the date range by fiscal year or by specific start and end dates.
This article explains how to access the app, complete the required selections, and avoid common issues during the copy process.
Notes
- The Plan ID selection is optional if you want to copy data for the full plan type.
- The Plan ID dropdown is sorted by ID number to help users find projects more easily.
- You can copy data by selecting either a Fiscal Year or a Start Date and End Date.
- When selecting dates, make sure to click OK each time to confirm the selection.
- The source and target cost types must contain the same cost categories. If any cost categories are missing in the target cost type, some data will not copy successfully.
- After the process completes successfully, the system will send a confirmation email with the selected copy details for reference.
Steps
Step 1: Open the Financial Copy App
- In the OnePlan banner, click the Import App icon.
- From the dropdown menu, select Financial Copy App.
Step 2: Select BU Group and Plan Type
- Once the app opens, select the appropriate BU Group.
- Select the appropriate Plan Type.
Step 3: Select Plan ID (Optional)
- If you want to copy data for the entire selected plan type, leave the Plan ID field blank.
- If you want to copy data only for specific projects, select the desired projects from the Plan ID dropdown list.
- The plans are listed in ID number order, which can help you locate projects more quickly.
Step 4: Select the Date Range
Choose one of the following options:
Option A: Copy for a Full Fiscal Year
- Select the appropriate Fiscal Year from the dropdown list.
Option B: Copy for Specific Months or a Custom Period
- Select the Start Date.
- Click OK to confirm the date selection.
- Select the End Date.
- Click OK again to confirm the date selection.
Step 5: Select Cost Types
- Select the Cost Type you want to copy data from.
- Select the Cost Type you want to copy data to.
Step 6: Validate Cost Categories
Before running the copy, confirm that the selected source and target cost types contain the same cost categories.
If a cost category exists in the source cost type but does not exist in the target cost type, that portion of the data will not be copied into the financial plan. If this happens, you will need to correct the setup and run the copy again.
Step 7: Review Confirmation Email
After the flow runs successfully, you will receive an email containing the basic information selected in the app. This email can be used as a reference for the copy that was performed.
Additional Recommendation
Before running a large copy, it is a good practice to verify that the target financial plan structure is set up correctly, especially the cost category configuration, to avoid having to rerun the process.
