Purpose
This article explains how Time Off works in OnePlan, including how users submit requests, how approvals are handled, and what happens after approval.
Steps
1. Submit a Time Off Request
When the Time Off feature is enabled, users can submit a time off request from either:
- My Work
- Timesheets
2. Approval Notification
After a request is submitted, the approver will receive:
- an email notification
- a notification within OnePlan
The approver can open the request from the notification and review it for approval.
3. Approve or Reject the Request
The approver updates the request status to:
- Approved, or
- Rejected
Once the decision is saved, the requesting user can see the status change.
4. Time Off Appears in the Timesheet
After the request is approved, the time off will automatically appear in the user’s timesheet.
5. Update an Approved Time Off Request
If a follow-up change is needed, the approved time off request can still be opened again from the Notification Center and edited.
For example, if a user is out of office for a longer period than originally planned, the manager can open the same approved request, update the dates, and save the change.
Notes
- Approvers may also be able to access time off requests from the Resource Center.
- The user who submitted the time off request can delete their own request, even if it has already been approved.
- The Timesheet Manager cannot delete the submitted time off request.
- If you cannot find a place to approve the request, check your email and OnePlan notifications first, since approvals are commonly accessed from there.
FAQ
What happens if a user is out for a long period and the manager needs to update the time off?
The manager can open the same approved time off request from the Notification Center and edit it. This allows the manager to extend or adjust the request without creating a new one.
Summary
In OnePlan, users submit time off from My Work or Timesheets, approvers review the request from email or OnePlan notifications, and approved time off is automatically added to the user’s timesheet. If updates are needed later, the approved request can still be reopened from the Notification Center and edited.
