This article will guide Timesheet Managers through setting up a project for task-level time tracking, enabling automatic timesheet reporting based on task data.
By default, projects use project-level time reporting. To use the new feature, you must switch the project to task-level time reporting.
Step 1: Enable Task-Level Time Reporting
To change your project to task-level time tracking:
-
Go to the Portfolio page.
-
Click Open Columns.
-
In the search bar, type Timesheet Charge.
-
Drag the Timesheet Charge field to the right side of the column layout.
-
In the Timesheet Charge field, select Task Level (instead of Plan Level).
Step 2: Assign Resources to Tasks
To ensure the right people receive the auto-assigned hours:
-
Navigate to your Work Plan.
-
Make sure the Assigned Resources column is visible.
-
If not, open Columns, search for Assigned Resources, and drag it into your layout.
-
-
For each task, click the Assigned Resources field.
-
Type and select the name of the resource you want to assign.
-
Click Save to confirm the assignment.
Step 3: Set AutoTimeHours for Each Task
To define how many hours should be reported per task:
-
In the Work Plan, click Columns.
-
Search for AutoTimeHours.
-
Drag the AutoTimeHours field to the right side of the layout.
-
Enter the number of hours to auto-charge for each task (e.g., 40 hours per week).
These hours will be used to populate each assigned resource’s timesheet automatically.
This will allow you to enter hours for each resource, which will then appear in their timesheets. Add the number of hours you want to auto-charge per week (40, for instance)
How It Works
Every Sunday at 6:00 AM Eastern Time, the system will:
-
Automatically submit the number of hours entered in the AutoTimeHours field,
-
For all assigned resources,
-
To the corresponding tasks on their timesheets.
Additional Information & FAQs
1. Do Start and Due Dates Affect Timesheet Submission?
No — timesheet hours will be submitted regardless of the task's start and due dates. As long as resources are assigned and AutoTimeHours is populated, the hours will be submitted automatically.
2. Can One Task Have Multiple Resources with the Same AutoTimeHours?
Yes — you can assign multiple resources to a single task. Each assigned resource will receive the same number of AutoTimeHours submitted to their timesheet.
3. How Can Managers Ensure a Resource Isn’t Over-Assigned (e.g., more than 40 hours across multiple projects)?
There are two options:
-
Delegate Access: Managers can be given delegate access to the resources’ timesheets to review total hours. For more information, read this article: Timesheet Delegates – OnePlan Support provided by PPM Works
-
Timesheet Resource Plan Type: Managers can also review allocations under the Timesheet Resource Plan Type to track total hours across projects.
4. Do Managers Still Need to Maintain a Resource Plan?
Yes — the auto-submitted timesheet hours feed into the Timesheet Resource Plan Type, so maintaining resource planning remains important for accurate forecasting and reporting.
5. What Happens if a Resource Has PTO Scheduled?
If a resource has planned time off (PTO), they can:
-
Recall their automatically submitted timesheet on Monday, and
-
Adjust the hours by moving time from the task to the PTO entry as needed.
