The following is a job aid for self-service for Plan imports. It is important to note how crucial it is that your data is clean before attempting to import your projects. Items that might interrupt an upload:
- Values in choice fields that do not exist in OnePlan
- Resource/user names being in formats other than email addresses
- Choice values not being in the correct case: For instance, ‘closed’ rather than ‘Closed’.
1. To get started, navigate to the Import App from the OnePlan ribbon, and download the Project Import Template from the Project Details tab.
More detail instructions on how to use Import App, please read Project Details - Data Import Instructions – OnePlan Support provided by PPM Works
2. From the template, fields are categorized in different colors by different field types.
Tip: To more easily validate imported data in OnePlan, save a personal view with all the fields that are included in your upload file.
For example, create separate portfolio views for import fields. Save the fields needed on each view.
3. Go to the template you saved from Import App. Copy your data into the template, being sure to align the fields properly.
The template includes all the fields that are created for all the BUs to use. So, you can hide the ones that your BU does not use.
DO NOT delete any columns, as this will result in an import failure.
- Validate the data you put in the template:
-
- Go to “Table Design”, make sure the table name is “OPImportPlans”. If the table name is different, it will cause the import flow to fail.
- Be sure to enter the correct Project Names, Plan Ids, and Plan Types. (The Plan Id must be an exact to the project in OnePlan. Note that Plan Type field is case sensitive.)
- Check the choice fields data. The choice fields are also case sensitive. You can check the choice values by checking the dropdown fields in detail page.
- Check the YesNo fields data. If your value is “Yes”, you must enter “True”; if your value is “No”, leave the cell blank.
- Check the Date fields column. In the ribbon, switch the field type to “general”. You should see all dates shift to a 5 character number. If any dates have extra text or characters in them, enter those dates in manually.
